AAJA  meeting minutes Sept. 30, 2007

 

 

 

In attendance: Emma Carew, Tom Lee, Lewis Leung, Nancy Yang

 

Absent: Nancy Ngo, Mary Tan

 

NEXT MEETING: Oct. 20 before the ethnic media mixer

 

Taste of AAJA update:

§        Bao Ong has submitted his name for co-chair of the Taste committee. Nancy Y. has agreed to be the other co-chair. Book compiled by Allie Shah and Tom Lee will be ready soon. Nancy and Bao will divide responsibilities soon.

§        Mary Tan has said she is willing to work as the grant/sponsorship chair. Emma has agreed to be volunteer coordinator and Lewis will be artistic director again.

§        Tentatively set for next December 2008. Bao and Nancy will start looking at dates. Last year it was set on Dec. 12 (a Tuesday night).

§        Still need silent auction chair. Will send e-mail seeking more volunteers. Nancy will send note to all scholarship/grant recipients asking them which they want to do (all scholarship/grant recipients are required to volunteer at three events).

 

Elections:

§        Two candidates for VP: Susanna Song and Annie Hua.

§        One candidate for national board rep: Nancy Ngo.

§        Elections are Oct. 15.

§        Nancy Y. will have candidates write a 100-word statement on why they should be VP or national board rep. Have candidates have their statements by Friday, ready for membership next Monday.

 

Ethnic mixer:

§        Emma: We are going to hold it at Sawatdee in the Warehouse District.

§        Oct. 20. We have the room from 4-7 p.m.

§        Will order 6-8 appetizers per person.

§        Drinks are an average of $5/person. Can either order a bunch of drinks or give people drink tickets. Will go for one drink ticket each to be more cost-effective.

§        Budget is $500. Food costs will be about $350-$400 for 50 people.

§        Hoping for 30ish people.

§        Emma and Lewis will make invite and send out ASAP. Emma will follow up with invites; they will RSVP to her.

§        Have heard from AAPress, Hmong Times, Korean Quarterly.

§        Bring info for Taste, bring membership applications, Tom will make a short speech – what can we do to get you more involved, how can we be relevant to you, etc.

§        Nancy will send invite to members.

 

Karaoke night:

§        Nancy Ngo’s e-mail: Will hold at U Garden. Availability is Nov. 9 and Nov. 16 from about 8 p.m. to midnight.

§        Hope for about 100 guests.

§        Two options for buffet: $13/person and a $500 room rental or $17/person and no room rental fee, assuming we have 100 people. Fee includes dinner and pop only. People would pay $13 and we’d pay the room rental.

§        We would have to rent karaoke equipment separately. Nancy N. has an equipment rental contact.

§        We will go for $13/person and pay the $500 rental fee.

 

U professor mixer:

§        Were approached by Sherrie Mazingo to plan a joint TCBJ/AAJA reception for new U diversity professor, Catherine Squires.

§        Susanna was asked to be on the planning committee.

§        Tentatively scheduled for Oct. 28 at Sherrie’s house.

§        AAJA would pay for half; planning committee will get back to us with numbers.

 

Camp AAJA:

§        Annual leadership training at the Poynter Institute.

§        Scheduled for Feb. 1-3, 2008.

§        We can send at least one chapter member in good standing; we will send two.

§        Tom said he would like to go. Lewis suggested we send one board member and one chapter member.

§        Local chapter will pay for the members who go. (Will go on next year’s budget)

§        Applications must be submitted by Nov. 15.

 

Other:

§        Discussion of AAJA grant money for Miami convention. Discussion that in the future, we should stipulate that money must be used toward its purpose. Also a discussion of whether to stipulate that the grant money is up to $300 to cover airfare, registration, hotel, etc. Also stipulate that receipt must be sent to treasurer before reimbursement. Illness, health issues, work-mandated emergencies and family emergencies are exempt, subject to board approval. AAJA will cover the cost of cancellation fees but the rest of the money must be returned. Lewis will handle. Nancy will revise grant application for review and vote.

§        Next time a grant is awarded, recipients will also receive the guidelines.

§        Finances: Vanguard account is $8,600, about an 8 percent gain; checking account is about $1,500. Still have other accounts in fixed-rate CDs and regular savings.
