Leadership Retreat

Meeting called to order 1:20 p.m.
I. Membership Survey (Tracey)
Top response for programming was for more programs/ workshops – racial / cultural sensitivity for newsrooms, skill building, timely news topics, critique sessions – and for networking.
Nine people volunteered to be mentors – one suggestion is to assign mentors to scholarship winners.
Eugene members requested more events in that area. (Teresa Jun can be contact person)
Top spending priority was student scholarships, No. 2 was stipends for conventions, No. 3 professional development.

III. Ideas for Events
Programming
Set dates and place, 2 times a year. The Oregonian or KGW?
We will do a mid-career workshop with Seattle this year as well.
Media Access for Asian American community

Social gatherings of Unity groups, picnics
Set up listserv for chapter (Yahoo groups – Jay will do this)
Update membership list on Website w/ e-mails
Recruit lapsed or inactive members with specific tasks
Lunar New Year, Summer Intern picnic and a possible fall event (in Eugene? – could piggyback off U of O job fair)
Asian Youth Leadership Conference in May – pass out business cards (Tracey and Jay will work on these)

Keep a list of Friends of AAJA: supporters, lapsed members, people who RSVP to events, Asian journalists who aren’t members (Tracey will compile, send her suggestions)
Meetings
Suggestion to have housekeeping meetings versus general meetings so less-active members don’t have to sit through business. Way to gather input from other members. Meet monthly and every other month. (We won’t call the social meetings “meetings”.)
Advertising
Submit to community calendars, newspapers about larger events, especially banquets
Advisory Council
Way to get veteran AAJA members involved without them feeling committed to go to meetings. Emily Tsao, Joann Ng, Steve Woodward, Phil Manzano, Lisa Daniels, Victor Panichukal, Karen Lee, Carolyn Lee (have special seals or corsages at banquet) – Angie will do this. Meet once a year with current officers.
Fund raising
We should keep in touch with our donors throughout the year, invite them to non-fund raising events. We could send Lunar New Year cards.
IV. Defining Officer Roles
Chapter officers are expected to head one committee
An idea: we could ask for individual officers’ reports at each meeting
President: Organize meetings, send out notices to membership, organize chapter members and tasks, write annual chapter report, liaison / representative to National and to community, run the banquet, annual presidents’ meeting at convention, making sure we’re fulfilling our mission, keeping committee chairs on task, keep track of membership list
VP Broadcast: Outreach to broadcast members (greeting new members), programming specific to medium, liaison to broadcast members, help scholarship committee draw and choose applicants, assist president as needed
VP Print: Outreach to broadcast members (greeting new members), programming specific to medium, assist president as needed
Treasurer: Balance checkbook, reiumburse people, attand annual treasurers’ meeting at convention, file annual financial report, make recommendations as to long-term financial goals, help with annual budget, provide quarterly financial statements to officers, cashier at events, make sure donations are acknowledged by president, help with fund-raising.
Secretary: Take minutes at meetings, run elections, correspondence and acknowledgements
V. Scholarships
Tracy has an idea to possibly sponsor a student journalism contest instead of a scholarship. Or we could do both.
Cross promotion with other scholarship programs, KATU, Asian Reporter – on Websites, brochures
